Tag each guest with giving level, table host, and pairing notes. Lock the major-gift and sponsor tables before the committee reviews the chart.
Real-time collaboration
We invite your committee members to your workspace at no cost. They edit the same plan at the same time, so nobody circulates last week's spreadsheet.
Check-in links for door volunteers
Send volunteers a link that lets them mark arrivals on the night without being able to change the seating plan.
AI floor plan import
Upload a photo, PDF, or CAD file of the ballroom and start from the real room instead of drawing it again from scratch.
High-contrast PDF exports
Bold table numbers and high-contrast type, so venue staff can read the chart in dim ballroom lighting.
How it works
1. Apply
Tell us your organisation name, your website or charity register entry, the people to invite, and a few lines about the events you run.
2. We review and set you up
We check your registered status by hand and provision your workspace. You and your committee receive invitation emails within a few business days.
3. Accept and start planning
Accept the invitation, set a password, upload your logo under Organization settings, and start seating.

Who is eligible?
Registered charities, 501(c)(3)s, CICs, NGOs, and school and community foundations. Grassroots groups running a charitable event may apply too — tell us about the event in your application and we will look at it.
Is it really free?
Yes. No card, no trial that converts. Approved organisations get the full Event Manager tier for 12 months.
What happens after a year?
It is renewable. We extend your workspace before it ends — email us if you have not heard from us. If access does lapse, the normal 7-day grace period applies before data is removed.
How does co-branding work?
Upload your logo in your workspace under Organization settings → Organization logo. It appears beside the SeatPlan logo on PDF exports and on Apple and Google Wallet passes.
Can our committee use it too?
Yes. Give us their email addresses in your application, or later, and we invite them to your workspace at no cost.
Can we keep using it for a paid event?
The pass covers your charitable events. If your needs change — ticketed commercial events, for example — talk to us and we will find the right plan.
Do you show our logo publicly?
Participating organisations may be shown on our website. You can withdraw at any time by emailing hi@seatplan.io. The full details are in the Non-Profit Program terms.
