The problem

The board went to the calligrapher on Wednesday. The list kept moving until Saturday.

Thursday: the aunt who declined is coming after all. Friday: a plus-one nobody mentioned, and two cousins who can no longer sit at the same table. The printed chart is already at the venue.

So you do what every planner does. A sticky note on the board, a word to the ushers, a guest who still ends up at the wrong table, and the caterer asking for the counts by table one more time. Thirty events a year, and every one of them has a Friday like that.

At the door

The Friday-night change

Move Aunt Rosa on Friday. Her pass finds the new table on Saturday.

Every seat email and Wallet pass opens the guest's live seat, not a copy of it. Drag her from Table 3 to Table 7 in the designer, and when she taps View your seat in the car park, Table 7 is what she sees, with the cousins she is sitting beside. Digital seating chart questions

What is a digital seating chart?

A seating chart that lives online instead of on a board. In SeatPlan.io you build it in the browser, share it as a link, export a PDF when you want print, and let guests look up their own seat from a QR sign, a seat email or a Wallet pass. Change a seat and every one of those shows the new answer.

What is an interactive seating chart?

One the guests can ask. They scan the QR sign at the door or open their seat email, type their name and see their table and seat number. It reads from the same chart you edit, so a change on your side is a change on theirs. No app to install, no login for guests.

Can I make a free digital seating chart?

Yes. The designer is free with no account: add tables, import the guest list, seat everyone. Saving the chart and PDF export are on paid plans. The QR seat finder, seat emails and Apple and Google Wallet passes are on Collaborate and Event Manager.

Do I still need a printed board?

Only if you want one for the look. Plenty of hosts run the door on a QR sign and escort cards alone. If you do print, export the PDF from the same chart, so the board and the seat finder never disagree on the day.

What do guests see when they scan?

A page with the event name and a box that says Start typing your name. They get their table and seat number and, if you switch it on, who else is at their table. If you want a little privacy, print a passcode on the sign and the page asks for it first. On Collaborate and Event Manager you can also email every guest a link to that page with Add to Apple Wallet and Add to Google Wallet buttons.

Does a digital chart work for weddings?

That is where it earns its keep. Wedding lists move until the week of the day and a calligraphed board cannot. A digital chart absorbs the late RSVP, the couple who split up and the surprise plus-one, and the guests find out at the door from the sign, not from a whisper to the ushers.
