Free, no signup · Classic Rounds, 80–110 guests · 7 layouts for 30 to 160 guests
Pick the spreadsheet that matches your reception
Each spreadsheet is one of our seating chart layouts. Its Tables sheet has the same tables and seats as the floor plan, so the two always line up.
Rounds + Family Tables
100–130 guestsHead Table + 2 rectangle tables + 8 round tables · 120 seats
Four sheets that do the counting
Every number is a formula, so it updates as you fill in the guest list. Sample guests show how it works until you replace them.
Guests
One row per guest in SeatPlan.io's guest list format. RSVP, Meal, Dietary and Table are dropdowns, and a seat used twice at one table turns red.
Tables
The tables of your SeatPlan.io layout with their shape and seats. It counts the guests at each one, leaves out anyone who RSVP'd no, and turns a table red when it is over capacity.
Menu
Your menu as SeatPlan.io keeps it: the dish, the short alias guests choose, and the course, with a running count for each dish.
Kitchen
Meals and dietary needs per table, laid out like the Kitchen sheet SeatPlan.io exports, so the caterer gets the numbers before the chart is final.
Every column is a SeatPlan.io field
The Guests sheet uses SeatPlan.io's own column names, and the guest import puts every one where it belongs.
| Column | In SeatPlan.io |
|---|---|
| Guest Name | The guest's name on the chart, place cards and seat finder. |
| RSVP | Guests marked No start unticked, so they stay off the chart. |
| Group | A guest group with its own colour, so the whole party moves in one drag. |
| Where seat emails and Wallet passes go. | |
| Dietary | Dietary icons in your guest list and counts on the Kitchen sheet. |
| Meal | The guest's menu choice. The import can build your menu from these. |
| Table | Apply seating seats the guest at the table with this name. |
| Seat | The seat number at that table. |
| Tags | Tags on the guest, such as Kids or Wheelchair. |
| Notes | A note on the guest. |
Why seating charts get messy in Excel
A spreadsheet is the right place for a guest list. It's the wrong place to decide who sits where.
Every change is a chain of edits
Swap two couples and you retype four table numbers, recount two tables and hope you didn't skip a row. One late RSVP can undo an evening of work.
Rows can't show who sits beside whom
Row 48 and row 112 look harmless on their own. Put them at the same table and you may have seated the exes together, or one parent much closer to the front than the other.
It prints as a list
Your venue wants a floor plan and your welcome sign wants a readable layout. A 150-row spreadsheet gives you neither without an afternoon of copying and pasting.
From spreadsheet to seated in three steps
Keep planning the list in your spreadsheet. Do the seating on a floor plan where every table shows who is sitting at it.
1. Open the same layout
Click Use this template on the layout you downloaded. It opens in the free designer with the same table names as your Tables sheet.
2. Import your guest list
Click Import in the guest list and choose your file. Every column lands where it belongs, guests who RSVP'd no start unticked, and your meal choices can become your SeatPlan.io menu.
3. Apply seating
On a computer, click Apply seating. Each guest sits down at their table and seat, and from then on moving someone is one drag.
Excel seating chart questions
How do I make a wedding seating chart in Excel?
Put every guest on their own row with columns for name, RSVP, meal and table. On a second sheet, list each table with its seats and use COUNTIFS to count the guests assigned to it, leaving out anyone who declined, then flag any table where guests outnumber seats. These templates already do that, with a Menu sheet and a Kitchen sheet for the caterer on top.
How many guests should sit at each table?
A 60-inch round seats 8 comfortably and a 72-inch round seats 10 for a plated dinner. An 8-foot rectangular table seats 8, or 10 with one guest at each end. Ask your venue which sizes they stock, then set the Seats column on the Tables sheet to match.
How do I handle plus-ones and divorced parents?
Give every plus-one their own row, named if you know it or as "Guest of" the person they're coming with, and the same Group so they stay together. For divorced parents, give each their own table about the same distance from the head or sweetheart table, with the relatives and partners they're closest to. Use the Notes column for anyone who should sit apart and check those notes before you print.
What size should I print my wedding seating chart?
Most couples print the welcome sign at 18 x 24 or 24 x 36 inches in the US, or A2 or A1 in Australia. List guests alphabetically with their table number so people find themselves fast. Give the venue a letter or A4 page of the floor plan with table numbers so the staff set up the room the same way.
Does this template work in Google Sheets?
Yes. Upload the .xlsx file to Google Drive, open it, and choose File, then Save as Google Sheets. The formulas and the dropdowns come across with it.
My venue doesn't match any of these layouts. What should I do?
Download the closest one and change the Tables sheet to your room: rename tables, change seat counts, add or delete rows. In the designer, add or remove tables to match and give them the same names, and Apply seating still finds every guest's table.
Can I import this spreadsheet into SeatPlan.io?
Yes, as it is. The guest import reads the Guests sheet, puts each column where it belongs, keeps each guest's table and seat, and leaves guests who RSVP'd no unticked. Open the same layout first and Apply seating seats everyone at the matching table.
